SANGAM 2026 (South Asia Network Global Annual Meet) is the flagship global higher-education summit of SouthAsia-IEN (South Asia International Education Network), a nonprofit professional network headquartered in Denver, Colorado, USA. This website is sangam.events; our parent organization's site is www.southasia-ien.org.
2. Information We Collect
We collect information you provide directly to us, including:
- Name, email address, phone number, country, institution, and role when you register for the summit or contact us
- Dietary requirements and accessibility needs you choose to share, used solely to plan catering and provide appropriate on-site support
- Proposal submissions (title, abstract, author details) sent to the Call for Proposals
- Billing details for registration payment; payment itself is completed through a secure payment link or institutional invoice; we do not collect or store card numbers on this website
- Communications you send us by email or through site forms
We also collect limited technical data automatically (such as page views and country-level location) through privacy-friendly, cookieless analytics provided by our hosting platform (Vercel Analytics) to understand site usage.
3. How We Use Your Information
- To process your registration and manage your delegate record
- To administer the Call for Proposals, including peer review and author notifications
- To issue visa-support letters, invoices, receipts, and delegate communications
- To send summit announcements and program updates (you may unsubscribe at any time)
- To respond to your questions and support requests
- To improve the website and the summit experience
We do not sell your personal information to third parties.
4. Data Storage and Security
Registration data is stored securely with encrypted, SOC 2 compliant infrastructure. Payment processing is handled by our payment provider and we do not store full card numbers on our systems. We implement reasonable technical and organizational measures to protect your data, but no method of transmission over the internet is 100% secure.
5. Cookies & Tracking Technologies
This website does not use advertising or marketing cookies. The only technologies in use are: (a) strictly necessary browser storage that keeps the delegate portal working when you sign in, and (b) cookieless, aggregated analytics from our hosting platform that do not track you across sites. Because no non-essential cookies are set, no cookie-consent banner is required. If this changes (for example, if we add marketing pixels), we will update this policy and request consent first, consistent with GDPR, CCPA/CPRA, the Colorado Privacy Act, and India's DPDP Act 2023.
6. Your Rights by Jurisdiction
Your rights depend on where you are located; we honor applicable rights regardless of jurisdiction. To exercise any right, email contact@southasia-ien.org.
- EU / EEA / UK (GDPR & UK GDPR): the rights of access, rectification, erasure, restriction, portability, and objection, and the right to withdraw consent at any time. You may also lodge a complaint with your local supervisory authority. Our legal bases are contract performance (managing your registration), consent (communications), and legitimate interests (security and fraud prevention).
- California (CCPA/CPRA) and Colorado (CPA): the rights to know, correct, delete, and opt out of any sale or sharing of personal information. We do not sell personal information, and we honor Global Privacy Control signals.
- India (DPDP Act 2023): the rights of access, correction and erasure, grievance redressal, and nomination. Consent may be withdrawn at any time. Our grievance contact is contact@southasia-ien.org.
We respond within 30 days (GDPR) or 45 days (CCPA/CPRA/CPA) of receipt and may need to verify your identity before processing a request.
7. International Data Transfers
SouthAsia-IEN is headquartered in the United States and the summit takes place in India. Your personal data may be transferred to and processed in the United States, India, and other countries. For EU/EEA transfers we rely on the European Commission's Standard Contractual Clauses; for India, transfers are made in accordance with the DPDP Act 2023.
8. Data Retention
We retain delegate and registration data for the duration of the summit cycle and up to 3 years thereafter for legitimate business and legal purposes (including certificates, receipts, and alumni communications). Proposal submissions are retained for the review archive. Aggregated analytics contain no personal identifiers.
